Data protection has become a priority for companies and individuals in the digital age. The increasing digitalisation of our lives and the rise of cyber threats make it more important than ever to take measures to ensure the security of our information.
Our offices and companies are also at risk from the various dangers that our data faces. A mistake in managing passwords, clicking on a suspicious link, or incorrect settings on devices can lead to serious problems for our privacy and the security of our organisation.
10 tips to minimise Data Protection risks for your company:
- Keep your workspace tidy. Do not leave documents containing personal information in plain sight. Avoid using sticky notes, reminders, or notes with passwords or other personal details. You never know who might see them!
- Passwords are personal and non-transferable. Do not share your passwords or usernames with others, even colleagues. Ensure that you create secure passwords by using alphanumeric characters or special symbols, such as “ñ” or “ç,” to make them stronger.
- Be cautious when using the company email. Use it only exclusively for work purposes. Avoid subscribing to websites or platforms, or downloading applications that could compromise the company’s data security.
- Be careful with the links you click on. Be wary of suspicious links, particularly in emails or on unreliable websites. If you suspect that your data has been compromised, inform your supervisor immediately.
- Share information securely. Do you use sites like WeTransfer? Do you apply two-factor authentication methods? Do you encrypt documents? When sending files with personal data or confidential information, always use secure methods.
- Keep your equipment updated. Ensure your computer is regularly updated to function properly and remain secure. Run any pending updates and make sure your antivirus and firewall are up to date.
- Work from home safely. Use secure, up-to-date devices. Avoid connecting to the company’s portal from public locations, and ensure that you are using secure Wi-Fi networks.
- Exercise caution when using artificial intelligence tools. Be mindful when entering information into these apps or websites. Do not share personal or confidential data without taking the necessary precautions.
- Report suspicious activity immediately. If you suspect that someone has accessed your personal data or confidential information, report it straight away. Quick reporting can prevent serious consequences from a data breach.
- Take care when transporting work materials. Equipment, files, notes, and reports may contain confidential or personal information. Handle them responsibly and ensure they are taken to safe locations.
